Erasmus 2022/23: Funding and payment modalities
Financial Erasmus funding modality
(see Articles 2 and 3 in the Grant Agreement)
The financially fundable Erasmus mobility period includes:
- The period you physically spend at the host university for academic purposes,
- A mandatory quarantine period in the host country at the beginning of the stay,
- Preliminary on-site orientation days,
- A pre-study language course on site.
The financial support for the physical Erasmus mobility is promised with the grant agreement (= contract on Erasmus funding).
The amount of your Erasmus grant is initially determined by the country group to which your host country is assigned. There are three country groups, each grouping those countries whose general cost of living is comparable:
Country Group |
Scholarship Monthly Rate per full month you study at the host university |
---|---|
Country Group 1
Denmark, Finland, Ireland, Iceland, Liechtenstein, Luxembourg, Norway, Sweden, United Kingdom |
600€ |
Country Group 2
Austria, Belgium, Cyprus, France, Greece, Italy, Malta, Netherlands, Portugal, Spain |
540€ |
Country Group 3
Bulgaria, Estonia, Croatia, Latvia, Lithuania, Poland, Romania, Serbia, Slovakia, Slovenia, Macedonia, Czech Republic, Turkey, Hungary |
490€ |
According to the EU Commission's definition, 1 funding month that can be funded with a scholarship corresponds to exactly 30 days (e.g. 01.09 - 30.09 = 1 month; 01.10. - 31.10. = 1 month; 14.09. - 13.10. = 1 month; 14.10. - 13.11. = 1 month; 01.02. - 01.03. = 1 month; see also scholarship calculator).
A one-semester physical Erasmus mobility is funded - depending on the physical mobility duration - with a minimum of 2 funded months up to a maximum of 4 funded months.
A two-semester physical Erasmus mobility is funded with 8 funded months.
The scholarship amounts for physical study visits are as follows:
One-semester physical study visit | Two-semester physical study visit | |||
2 Months | 3 Months | 4 Months | 8 Months | |
LG1 | 1200 | 1800 | 2400 | 4800 |
LG2 | 1080 | 1620 | 2160 | 4320 |
LG3 | 980 | 1470 | 1960 | 3920 |
In the appendix you will find a scholarship calculator, which you can use to make a corresponding calculation. In this context, it should be noted that, in accordance with the Erasmus programme philosophy, the financial support does not represent a full scholarship, but is intended as a so-called mobility grant to help compensate for the increased cost of living in the host country.
Payment Modalities
(see Article 4 in the Grant Agreement)
First of all, the Grant Agreement and the Learning Agreement must be submitted correctly and on time.
If these obligations have been fulfilled and checked correctly and in due time, you will receive the corresponding funding for your stay abroad according to the funding period indicated in the Online Portal.
Calculation of the Actual Funding Amount
(see Article 3.2, Article 4 in the Grant Agreement)
Ultimately, you will be funded for the physical mobility period as evidenced by the Confirmation of study abroad issued by your host university at the end of your stay.
Your funding amount can be increased up to 4 funding months for a one-semester stay if the extension of the physical period of stay is notified by e-mail
at least one month before
the originally planned end (see Article 2.5 in the Grant Agreement).
Example: You initially received funding for 3 months but due to a change of course you have to stay longer and are abroad for more than 4 months. If you submit the new end date by email in due time, a 4th funding month can be paid.
Please note that you will only receive a scholarship for "full" months. An “uncompleted” month cannot be funded. For example, for a stay of 4 months and 24 days, you will receive a scholarship for 4 months. The "uncompleted" month of 24 days is a Zero Grant period and not eligible for funding. Please note that zero grant periods are periods of indirect funding, as you do not have to pay tuition fees for an Erasmus place at the partner university.
If the Confirmation of study abroad proves a physical period of stay of
- 5 - 7 "full" months, a maximum of 4 months will still be paid out.
- 9 - 12 "full" months, a maximum of 8 months will still be paid.
Shortening of the Length of Stay
Students who shorten the duration of their stay significantly will be asked to repay the overpaid scholarship amount after the Confirmation of study abroad has been sent.
Extension of the Period of Stay
An extension of the period of stay at the same host institution is possible up to a total duration of stay of max. 12 months. The extension of the financial support period by a further semester is only possible if the extension of the physical period of stay has been reported correctly and in due time and if funding is still available. Otherwise, the extended period is a zero grant period.
Your duration of stay can be increased to up to 4 grant months for a one-semester stay if the extension of the physical period of stay is reported by email at least one month before the originally planned end (see Article 2.5 in the Grant Agreement).
Examples
Example 1
Student W is planning a one-semester physical mobility in Italy (country group 2). The scholarship monthly rate per full month (30 days) studied at the host university is 540 € for country group 2.
Student W has indicated online that her stay will last from 14.09.2022 to 15.02.2023. The specified period contains a total of 152 days. This corresponds to 4 "full" months and 32 zero-grant days. The full amount of the grant is therefore 2160 €.
The full funding amount will be paid if Student W has submitted her Grant Agreement and Online Learning Agreement "Before the Mobility" correctly and on time and these have been checked. All other obligations must also be fulfilled by the deadline in order for the student to keep the grant.
Alternative 1a: Should student W, due to unforeseen circumstances (examination postponed etc.), only be able to prove, for example, 3 months and 24 days with the Confirmation of study abroad, she must pay back one funded month. The post-mobility obligations still have to be fulfilled, of course.
Alternative 1b: Student W would like to extend her stay by one semester. She therefore submits a fully signed OLA for Changes to Erasmus Outgoing Student Support before 15.01.2023 (one month before the original end date). The Erasmus Outgoing Student Support will check the documents and the possibility of financial support. If the funds are approved, the student will be paid for the additional months, so that student W receives a total of 8 months funding (4320 €).
Example 2
Student Y is planning a two-semester fully physical mobility in Poland (country group 3). The scholarship rate per full month (30 days) studied at the host university is 490 € for country group 3.
Student Y has indicated online 27.08.2022 as the start date and 26.07.2023 as the planned end date. In total, the specified period contains 330 days. This corresponds to 8 eligible "full" months and 3 zero-grant months, as a maximum of 8 full months are eligible for funding. The full amount of funding available is therefore 3920€.
The funding amount will be paid out if Student Y has submitted his Grant Agreement and Learning Agreement "Before the Mobility" correctly and on time and these have been checked. All other obligations must also be fulfilled by the deadline in order for the student to keep the grant.
